(Note: revised 04-Jun-2004) Meeting LogisticsThe 2004 Annual LTER Information Management Meeting will be held at the Portland Marriott City Center Hotel, in Portland, Oregon on July 28th through July 31st. If you have any logistical questions, please do not hesitate to contact Linda Powell (FCE) via email at powell@fiu.edu. Please visit the Portland visitor’s center website at http://www.portlandcvb.com/visitors/ for more Portland area information not included in the following details. 1) Air Travel Information: For those IMs whose costs are covered by the LTER Network Office, please call Rio Grande Travel 1-800-778-6861 or 505/768-7999 as soon as possible and ask for a UNM Representative. You may also contact the following representatives directly for assistance: Rita Ortiz at RitaO@RGTravel.com, Tracey Fria at TraceyF@RGTravel.com. Tell the agent that the LTER Network Office at UNM (contact: Pam Griego) is paying for your ticket. If you have any other problems, please e-mail the manager, Doris Phillips, DorisP@RGTravel.com with a copy to pgriego@LTERnet.edu. Once you have made and approved your reservation, Rio Grande will forward the itinerary to the Network Office, which will pay for the ticket. If you wish to purchase the airline ticket yourself, please e-mail Pam Griego your arrival/departure dates/times, flight number and the amount of the ticket. Reimbursement for the ticket will be made after the meeting. When making your travel arrangements, please consider that the IM meeting officially begins on Wednesday, July 28th at 6:00pm and ends on Saturday, July 31st at 12:00pm. NOTE: Any airline reservations made within 21 days of the initiation of travel will have to be paid for by the traveler and will be reimbursed at the APEX 21-day advance purchase rate. Failure to make reservations in a timely fashion may therefore have serious personal financial implications. **Additionally, Rio Grande Travel will also be happy to make air travel arrangements for those participants who are supported by their sites and meeting guests. 2) Hotel Accommodation Information: General Hotel Contact Information: Portland Marriott City Center Hotel The hotel is located on historic Broadway, in the very heart of Portland amid a backdrop of business, shopping, dining, arts and entertainment. Instructions for LTER Network Supported Participants: A list of meeting participants, with ‘roommate’ information for those IMs who will be doubling up with their fellow IMs, will be submitted to the Marriott prior to the meeting. The NET office will be paying for our ‘block’ of rooms directly so there will be NO room payment by those individual IMs being covered by the NET Office. Please make sure you contact Linda Powell (FCE) regarding your roommate information (whether or not you have a roommate, and if so, who you will be rooming with) by June 15th, 2004 via email at powell@fiu.edu or telephone at 305-348-6054. Please include the ENTIRE range of dates for which you will be staying at the Marriott Hotel with your rooming information. If you plan to stay at the Marriott while attending the ESA conference, there is no need to call the Marriott directly to make reservations beyond the IM meeting as a list will be provided to the Marriott that includes the range of dates (IM Meeting and ESA, if applicable) that each IM meeting participant will be staying at the hotel. Instructions for Meeting Guests and Site Supported Participants: For meeting guests and meeting participants that are supported by their sites, please contact the Marriott reservations desk directly at 1-800-228-9290 and refer to the LTER IM Meeting ‘Open Room’ reservation block. The nightly room rate is guaranteed at $119 per night. If you are staying for the ESA conference, make sure you reserve your room (under the ‘open room’ block) for the ENTIRE range of dates for which you will be staying in Portland. Instructions for Making ESA Arrangements: The Portland Marriott City Center Hotel has agreed to extend our room rate of $119 per night through the duration of the ESA (August 1-6) meeting. The hotel is just two short blocks from a MAX-Light Rail Station which gives easy access to the ESA meeting across town at the Oregon Convention Center. For those of you who are supported by the NET Office and would like to remain at the Marriott through the ESA, please make sure that you include the ESA dates when you submit your IM rooming information to Linda Powell. The Marriott reservations department has asked us to compile a rooming list, together with check-in/check-out dates for each participant, for dates that range from the start of the IM meeting to possibly the end of the ESA conference (July 28th thru August 6th). This procedure will facilitate our stay as those IMs attending the ESA conference will be able to stay in their room thru August 6th thus avoiding a room reassignment after our IM meeting. For example, my rooming information would look like: Linda Powell (check-in: July 28th & check-out: July 30th) and Michelle Murillo (check-in: July 28th & check-out: August 6th) (assuming Michelle were staying thru ESA). For guests and meeting participants who are supported
by their sites, please contact the Marriott reservations desk directly
at 1-800-228-9290 and refer to the LTER IM Meeting ‘Open Room’

dates for which you will be staying at the Marriott Hotel. 3) Airport Transportation: The Portland International Airport (PDX) offers many convenient ground transportation alternatives including taxi, town car, and shuttle van services, in-terminal and off-airport car rental services, and public transit service on the MAX Light Rail System. The pickup area for taxis, town cars, shuttle vans, and other transportation providers is located on the west side of the parking garage. Taxis, town cars, long haul shuttles, hotel vans, and parking lot shuttle buses are located in the center section of the terminal’s lower roadway (on the baggage claim/departure level). Airporter shuttles, off-airport rental car shuttles, and reserved vehicles can be found in the section of the lower roadway closest to the garage. The MAX Light Rail System (www.trimet.org/schedule/r100.htm) offers the most economical ground transportation option as the one-way fare between PDX and downtown Portland is only $1.60 and the ride takes less than 40 minutes. The MAX Light Rail System operated seven days a week starting at 4:55 AM and ending at 10:58 PM with trains running every 15 minutes during peak hours between 8:45 AM and 5:45 PM and less frequently during off peak hours. For those who prefer to take a shuttle or a taxi from the airport, the one-way fee will be between $15 and $25. For advance reservations and rate additional information, contact the following providers: Shuttle Services Taxi Services 4) Local Transportation: The MAX Light Rail is just a block away from the Portland Marriott City Center Hotel for quick and easy access to Portland International Airport, Convention Center, Rose Garden and Memorial Coliseum and the Japanese Gardens in Washington Park. There is no charge for riding either the MAX Light Rail or the Tri-Met bus/streetcar service within the central downtown Portland area (which includes the ESA venue). These systems operate at regular intervals between the hours of 5 AM and 11 PM daily. Visit the TriMet website at www.trimet.org/schedule/r100.htm for public transit information, online fare purchasing, and interactive trip planning. 5) Reimbursements After the meeting, please fill out the UNM Travel Reimbursement form and mail it to Pam Griego according to the instructions in the document for reimbursement of food and miscellaneous travel expenses. The reimbursement amounts posted on the UNM form are not applicable to our Portland trip.
